Application Process and Requirements

 

Introduction

 

When you have read the prospectus and decided which programme of study is of interest to you, kindly check that you have the correct qualifications to be accepted for that programme.

 

Type of Programmes

 

There are three types of programme offered:

  • Mainstream Programme (Perdana) is a postgraduate programme usually conducted at UTM Skudai campus which offers all types of registration and modes of study.
  • Offshore Programme (Pesisir) is a postgraduate programme usually offered off-campus (outside UTM Skudai campus) at selected study centres. The mode of registration is by part time and the lectures are usually conducted during weekends. The normal tuition fees (are NOT applicable for this type of programme.
  • Special Programme (Khas) is a postgraduate programme usually offered for special groups of students or companies.

Types of Registration and Duration of Study

Candidates are free to enrol into either Full time or Part-time type of registration. Full time students must pay the full time tuition fees and are expected to work in the campus. Part time students are allowed to take fewer number of credits per semester and may complete the study in longer duration. The minimum and maximum duration of study (registered semesters) for full time and part time students is shown in Table 1. If you are applying for Part-time taught course mainstream programme, please check the timetable of the lectures because for most courses and lectures are conducted during normal working hours. The out-of-hours or weekend lectures are usually available for Part-time off-campus (offshore) programmes only.

Qualifications

General requirement for entry are:

Master Degree

  • A Bachelor’s degree with good honours from Universiti Teknologi Malaysia or any other institutions of higher learning recognised by the Senate; or
  • A qualification equivalent to a Bachelor’s degree and experience in the relevant field recognised by the Senate.

Doctoral Degree

  • Master’s degree from Universiti Teknologi Malaysia or any other institutions of higher learning recognised by the Senate; or
  • Other qualifications equivalent to a Master’s degree and experience in the relevant field recognised by the Senate; or
  • Certain faculties may request additional entry requirements or higher academic grades for specific courses. If you are uncertain whether your qualifications meet the requirements, please contact the Admission Officer by e-mail, fax or letter.

Application Form


A complete application must include:

  • TWO sets of completed application form
  • Official academic transcripts and graduation certificates
  • TWO letters of recommendation
  • RESEARCH PROPOSAL (for research candidates only)
  • Application fee: USD30 (international candidate) and RM20 (Malaysian candidate)
  • Passport-sized photograph

The application forms can be obtained directly from the School of Graduate Studies or by request by writing or fax to us. The forms can also be downloaded from SPS’s website at www.sps.utm.my.

Required Documents


On the application form. The name and code of the programme must appear exactly as listed in the programmes offered.

The following documents are needed in order to process the application:

  • Proof of award of your first degree(s). Please submit certified copy of official and complete transcripts from each college or university previously attended.
  • Proof of your ability in the English language if you are an international student.
  • Proof of how your tuition fee and personal maintenance costs are to be met.
  • At least two letters of recommendation about your suitability to pursue your proposed programme of study from people, at least one of whom should, if possible, be a lecturer acquainted with your academic ability. Batch letter needs to be sent in an envelope with the signature of the degree across the seal. Please print two copies of the reference form (can also be downloaded). Complete part one of the form and pass to your referees.
  • Processing fee of RM20 for Malaysian candidates.
  • A passport-sized photograph
  • A RESEARCH PROPOSAL (for research students only)

All documents must be in English (or in Malay language for local candidates). Photocopied certificates and translations of documents must be certified as true and original. The official academic transcripts should be obtained from the university where you completed your undergraduate or master’s degree. It must be accompanied with a statement in English or Malay translation (if the original is in other languages), bearing original signature and showing clearly:

  • The emblem, name and address of the institution;
  • The date you enrolled at the institution;
  • The date you left the institution and degree awarded;
  • The course taken and the grades received;
  • The system of grading used, indicating the highest and the lowest passing mark.

All sections in the forms must be filled. Only complete applications should be sent to UTM. The absence of any of the required documents or information may result in a delay in processing your application. Research Proposal (For Research Programme Only)


If the application is intended for a Master’s or PhD degree by research, you are required to prepare a brief research proposal (about 3-5 pages). The proposal should contain the following items:

Scope of the study;

 

Significant of the study.

  Chapter 2

Literature Review

 

Review relevant research to provide rationale for your work;

 

Present unanswered questions, untried method etc. your work addresses;

 

Findings of others you are challenging or extending.

  Chapter 3

Research Methodology

 

Research Design & Procedure;

 

Operational Framework;

 

Subjects or data sources;

 

Instrumentation & Data Analysis;

 

Assumptions & Limitations;

 

Research Planning & Schedule.

  Chapter 4

Expected Findings and Summary

  List of References

 

 

Application Deadlines
An application may be submitted at any time of year, but applicants are advised to adhere to the following datelines for each admission.

For July admission (SEMESTER I) : 13 May (Malaysian)
For December admission (SEMESTER II) : 26 October (Malaysian)

Where a candidate is seeking financial support from any of the relevant award-making bodies, they should submit the application well in advance of the closing date required by the award-making body.

Complete applications, consisting of two application forms, two sets of references in sealed and signed envelopes, transcripts, processing fees, photograph and research proposal (for research candidates) should be sent before the dateline to
